This question has a large overlap with all the "procratination" question on this site (delaying until a deadline is a classic procrastination pattern). You might want to search for that term and look which questions are similar tor yours. I'm also voting to close the question for that reason.0x6d64 2015-09-14T10:59:00.637

You don't explain much of what your tasks include and how you feel about this or whether they are personal of professional matters. But I take it that you don't use your time well enough and/or avoid the tasks (this is normal and nothing to be ashamed of). The reason for this is unknown as you have not shed light on this. I will therefore go through many potential problems.

Many people react to stress with avoidance. This can lead to systematic procrastination. The longer it stays, the stronger it frays. Actually forgetting tasks is also something that one might do subconsciously to avoid the stress and discomfort related to the tasks.

If you are among those who associate uncomplete tasks and expectations as stress and discomfort you might want to work with how you react to this as well as try to understand your thought pattern.

When you have many tasks on your mind you will often experience that your thoughts gets messy and your concentration lacks. Especially if this is linked with stress and a history of such.

There are different reasons for these emotional og logical reactions, but often it's the fear of not being able to complete it or not do it well enough that causes this. Many develop self-sabotatage habits. In practice this is a means of avoidance. It may be to avoid being disappointed or not meet the expectations. Or simply the stress of not knowing whether you'll get done in time.

You might get into the habit of making the tasks seem very large and extensive, and this can lead to you making the process unnecessarily extensive and ineffective. Especially when there's several tasks that can be combined in a better way. Or the fact that with a clouded mind you plan poorly.

1. Routines will help you to do more without having to plan and measure for it. It takes time to adapt to new routines and you might quickly fall back to old habits if you are not strict.

2. Disassociate tasks with stress and discomfort. As you do well over time this will happen by itself. Try to think of the tasks in a relaxed matter.

3. Don't chew more than you can handle: Don't expect yourself to do more that is possible and afterwards fault yourself for not doing the impossible. This will make things worse. Also break the tasks into smaller tasks if you struggle to get started. Making to many subtasks can make it seem as more work, refrain from this way of thinking.

4. Maintain steady and consistent workflow: People often tend to start with tasks in the end when they realize there's not much time left. For some this is a result of their procrastination. They completely misjudge time and delegate their time poorly, often subconsciously.

5. Keep lists: How do you expect to remember a bunch of tasks and beyond that being able to complete the tasks with a fresh and sharp mind?

Give your brain a break and follow a list rather than desperately trying to remember everything. E.g. phone apps or pen + paper.

6. One thing at a time: Humans are not good at multitasking, and if there's issues waking in your subconsciousness it will affect your ability to concentrate and think clearly. Worrying about the next tasks don't help you when you are working.

7. Can you save time somewhere?: Can you make calls during your daily drive? Shop once or twice a week from your grocery list as opposed to sporadically and unefficient from memory? Collaborate with others? Do you spend time searching for stuff? Does your place/work area look like a mess? Does stuff pile up in a mess because you don't keep the place tidy while you use it? Do you leave keys or documents around and don't remember where you put them?

8. Are you sleepy or out of energy?: It's important to eat, sleep and be active for you to perform optimally. You want to sleep aprox. 7-8 hours. Light directly affect your energy and sleep pattern, so you want bright light to enter your retina from the start of your day and hours before bedtime you want to avoid bright light (examples are monitors/TVs or "cool colored" light bulbs).

Eat regularly, and cut down on carbohydrates, sugars and in general unhealthy and processed foods. Better foods means better energy.

Strength training will effectively increase your metabolization and increase energy levels. It also leads to increased calorie needs. This is why this is one of the most effective ways of losing weight. Exercising also helps your stress response.

9. Distractions?: Are you distracted by TV or PC? Or spending time on other stuff? If that is the case and you are not good at restraining yourself, make a barrier. Make a rule to disconnect the TV to raise the bar for temptation. Make work area seperate from temptations. Be Strict. Tell your friends you don't have time as you need to work. Whatever the distraction (means of avoidance) is, make a barrier.

10. Evaluate yourself: Note the things that are applicable to you. Identify the problems. Then make the plan to improve. Remember that when you "give up" or lose motivation this is the time to arrest yourself and be strict. If you tend to avoid the confrontation you need to break the pattern to defeat it. These are habits and emotional strings you need to dispose of.

After evaluating your situation and identify the problems, you want to make a plan of change. You might want to change how you structure your day or how you deal with the tasks.

Get up and immediately start your day with brushing teeth, eating breakfast and all that.

Check your list of what needs to be done. Choose the most important and urgent stuff like "GRK" describes.

Be strict, avoidance is not an alternative. Stop saying stuff like "don't have time" and replace it with "won't prioritize that".

Don't work yourself up, do your best and move on to the next task. Do you spend more time working yourself up and worry, than to actually 'just do it'?

Make time for rest and recharge your batteries.

Use timers, alarm clocks, lists etc.. Store your stuff orderly, so that you find stuff easier. Throw away stuff that just takes up space.

It can be useful to work intensively for a set period of time, then take a break, get some air, eat and continue.

The most important steps (in my view) is to have a clear overview. Lists and time frames to improve concentration on the important bits. And keep somewhat healthy and sharp. If you need to follow a schedule, do so. It won't hurt to try. Routines are the easier way of getting stuff done consistently. Be strict and determined.

It would help if you elaborated on your situation, making it easier to adress your issue. Either way I hope this was of help.

To complete a task requires an understanding of the nature of tasks.

Nature:

1) not Urgent and not Important,

2) not Urgent and Important,

3) Urgent and not Important,

4) Urgent and Important

The order of execution usually recommended is 4, 3, 2, 1. 3 and 3 can be shuffled as per your nature of work and stakeholders involved. In addition to this, there is the effect of task switching: time taken to concentrate and finish a job, and time wasted while switching back ad forth between different jobs. Trying to do everything at once gets nothing done - experts said it well. I addition to this, if there are multiple jobs/tasks that fall under the same priority/category then it is always better to do the shortest/fastest job first. This will give you a sense of satisfaction.

In addition to this, in order to improve your efficiency further, make sure you don't fall trap to any of the artificially induced relaxing habits cigarettes/alcohol. Have good sleep. Good health and a simple lifestyle go a long way to improve your overall efficiency and quality of life.

The very short and precise answer for me could be to break the task in small manageable steps. And then pick the first manageable step and start working on it. Now the most important part is to forget about everything else.

concentrate on the satisfaction at hand when you complete each sub task.
